An Emerald, Ivory and Gold Romantic Wedding at Hotel X
An Emerald, Ivory and Gold Romantic Wedding at Hotel X
Hotel X is renowned in Toronto as one of the best and most luxurious wedding venues in the city. A newcomer amongst institution venues that have existed for a long time in Toronto, Hotel X has proven itself as an incredible contender based on price, service, delectable food and unparalleled views of the city. Events by Whim recently had the pleasure of designing New Fort Hall for a sweet couple’s celebrations and Kassandra Melnyk Photography captured the beautiful details.
We started with a design consultation where H and I discussed her vision for the day. I love to get into our couples heads a bit so we also chatted about how she and A met and fell in love, and what they hoped to feel at different points during the wedding day. We had such a nice time chatting that the time flew by! We got into deeper details about what they love about Hotel X and how they hope their guests will interact on the wedding day. We loved that they wanted to add in emerald green details because the groom would be wearing an emerald green velvet suit jacket!
Their style honestly is my favourite – very romantic, very modern and very lush! These are the kinds of very’s that make my heart sing! I designed an arch style based on their inspiration that would look beautiful and regal in the 27th floor ceremony space and would frame the Toronto skyline that was playing such an important part of the story for these lovebirds. The arch would then be repurposed behind the sweetheart set up in front of the iconic walls of New Fort Hall.
Their VIP tables, consisting of their wedding party and families, were brought in from Detailz alongside the gorgeous chairs with emerald seats. We wanted their family tables to be lush without obstructing anyones view so we opted for low arrangements and lots of warm candlelight. With New Fort Hall being all glass walls, the candles glowed prettily all evening long.
Finally the guest tables were intimately placed around the room so that guests all had a wonderful vantage point, and we used gorgeous modern taper candelabras with emerald green candles, surrounded by touches of florals to fill the space nicely. Guests were able to converse and enjoy while still having a full and luxurious centrepiece. Final detailings included charger plates, clear chiavari chairs with black seats at the guest tables and beautiful stationery designed by the bride.
A huge thank you to our partner The Dulce Dwelling for bringing our floral ideas to life!

FAQs
Embarking on your journey toward marital bliss inevitably comes with a plethora of questions. Having navigated these waters, I know the importance of clarity, which is why I’ve compiled your most pressing FAQs to ensure your liaison with the best wedding planner Toronto offers is nothing short of harmonious.
- Experience is Everything: It’s wise to ask about the number of weddings they’ve brought to life, how long they’ve been in the business, and specialties they might have. A planner well-versed in lavish Toronto weddings or one with an innovative edge in eco-friendly celebrations could be the maestro you need.
- Financial Foresight: How does your potential wedding planner balance the books? Explore their budgeting process, inquire if they have connections for discounted rates with suppliers, and find out how they manage the unforeseen expenses that can often appear as unwelcomed guests.
- Communication is Key: Understanding the tempo and tone of your exchange with wedding planners is crucial. Ask about the frequency of your meetings, whether they prefer emails or calls, and how available they’ll be during those all-important weeks leading up to your day.
- The Suite of Services: Discuss whether you’re looking for comprehensive planning, day-of coordination, or something in between. Toronto wedding planners often assist with design, timeline creation, seating plans, and day logistics, but it’s essential to clarify exactly what’s offered.
- Expect the Unexpected: Life is full of surprises, and so are weddings. Discuss contingency plans for any unexpected situations. It’s also a good moment to peek at their contract and cancellation policy to ensure everything is up to your expectations.
- The Portfolio Perusal: Requesting references is a great way to envision your day through the success of past celebrations. Inquire about portfolio presentations and previous clients to discern their satisfaction with the planner’s work.
- A Symphony of Services: A seasoned Toronto wedding planner might suggest touring prospective venues at the time you plan to wed. This ensures the ambience matches your vision, and don’t forget to secure these agreements in writing.
- Professional Pedigree: Establishing the credentials of your planner is paramount. Those certified by the Wedding Planners Institute of Canada (WPIC), for instance, come with a guarantee of strict ethical conduct and extensive training.
- Hidden Extras: Be upfront about additional fees—a luxury wedding planner should have no qualms discussing mileage, parking, and even food allowance (because even planners need to refuel!).
- Designing Your Dreams: Uncover their design process and past favourites to ensure their creative visions align with your aspirations. Ask, ‘Is hiring a wedding planner worth it for the design alone?’ and let their portfolio do the talking.
- Accounting for Every Dollar: Costs can vary, with full-service planning typically ranging from CAD 5,000 to CAD 15,000 or more. It’s essential to understand what you’re investing in and the tangible value brought by your chosen Toronto wedding planner.
Weave these questions into your conversations and watch as the canvas of your Toronto wedding becomes imbued with clarity and colour. A luxury wedding planner is more than a vendor; they’re your confidant, the silent sentinel ensuring that every smile, every laugh, and every tear of joy is captured in a seamless celebration, tailor-fit to the tune of your unique love story. Remember, finding the best wedding planner in Toronto isn’t just about ticking boxes—it’s about igniting a partnership that will burn brightly long past the embers of your special day.

Timeless Harding Waterfront Estate Wedding
Harding Waterfront Estate – A timelessly romantic wedding for M&A
One of our absolute favourite venues in the Greater Toronto Area is Harding Waterfront Estate! We have been there so many times and it is always such a pleasure! Here is our latest wedding at Harding Waterfront Estate, featuring our full planning couple Melissa and Aidan, shot by the talented Lucas T Photography!
These two sweethearts hosted the dreamiest outdoor ceremony followed by a tented reception on the Harding grounds, using harvest chairs, gorgeous lush greenery and dainty floral accents and plenty of candlelight. We loved our couple’s glam for the day, bringing to mind a timeless 90s style of sleek and embellishment-free attire, because as they say, less is more!
Standout features at this wedding included the couple’s gorgeous attire – M wore a fitted gown with simple embellishments and stunning partial sleeves. Her sleek style was perfect for the modern and timeless style of their wedding aesthetic. We kept the wedding design luxuriously simple, with a neutral palette and plenty of greens and whites. To enhance this further, we stuck with simple but heavy white linens, and sand-coloured wooden harvest chairs. Guests loved the formal yet relaxed environment. They roamed the grounds, played lawn-games and enjoyed the passed appetizers and plentiful cocktails. There was even a live shucking oyster station! M&A thought of it all!
Harding Waterfront Estate is a stunning venue in the Mississauga, Ontario area with beautifully manicured lawns and a gorgeous estate house property on the grounds. We love the stately feel of the venue – it is truly a timeless type of venue, perfect for couples who want to have an old money aesthetic for their wedding with wonderful service and exemplary food. There are plenty of stunning photo locations on the property itself and in the immediate vicinity. We work at Harding quite often and can’t recommend it enough to our couples. The temperature controlled tent is lovely to look at and is usable in essentially every season.
We are wishing our sweet couple all the best in their marriage and are so thankful that we were able to plan with you for over a year! Beautiful photography by Lucas T Photography.

What Should Be Included in a Wedding Itinerary?
What should be included in a wedding itinerary?
The wedding day is undoubtedly one of the most significant days in one’s life. It’s a magical day filled with joy, love, and beautiful moments. However, planning for such a big day can be overwhelming. One of the key elements of ensuring a smooth wedding day is preparing a detailed itinerary. In this article, we delve into the question of what should be included in a wedding day itinerary.
Starting with the Basics: What is a Wedding Itinerary?
A wedding itinerary, also known as a wedding day timeline, is a detailed plan that outlines the flow of events on your wedding day. It schedules when and where each activity will occur, from the moment you start getting ready to the grand exit at the end of the reception.
Crafting a wedding day itinerary ensures that nothing falls through the cracks, and every detail is taken care of. It also helps you manage your time effectively and ensure that everyone involved, including vendors, bridal party members, and guests, know exactly what is happening and when.
Key Elements of a Wedding Day Itinerary
Crafting a wedding day itinerary involves considering several elements. Let’s look at what should be included in a wedding day itinerary.
1. Pre-wedding Events
Your wedding itinerary should start from the very first event, which is often the wedding rehearsal. However, for some couples, this may include pre-events that are part of a larger multi-day wedding celebration.
Rehearsal
Begin your timeline with the rehearsal, detailing when and where it will be held. Also, include the time and location of your rehearsal dinner or welcome party.
Pre-wedding Get-togethers
If you have any pre-wedding get-togethers planned, such as a bridesmaids’ brunch or a groomsmen’s golf outing, these should be included in your itinerary.
2. Getting Ready
This is where the wedding day officially starts. Detail when and where you, your partner, and your wedding party will start getting ready.
Hair and Makeup Appointments
Note down the time when your hair and makeup artists will arrive and who they will work on first. Also, specify any instructions your stylists have provided, such as whether the bridesmaids should arrive with clean, dry hair.
Dressing Up
Specify what time everyone needs to start getting dressed. It might be before you put your gown on so they can help you get ready.
3. Vendor Arrivals and Set-up
This section should include the arrival times for all your vendors and when they will start setting up.
Vendor Load-in Times
Include the time when each vendor is expected to arrive for setup. Be sure to include what they are setting up and key contacts.
Photography and Videography
Specify when your photographers and videographers will arrive and start taking shots. Also, note the times for different photo sessions, such as the bridal party photos, couple’s portraits, and family photos.
4. Wedding Ceremony
This is the main event. Outline when it will start, how long it will last, and any specific traditions or customs you will incorporate.
Guest Arrivals
Include what time your guests should start arriving for the ceremony.
Ceremony Start and End Times
Clearly state when your ceremony will start and end.
Post-ceremony Activities
Specify any post-ceremony activities, such as a confetti toss, signing the marriage license, or a group photo.
5. Cocktail Hour and Reception
This part of the itinerary includes everything from the start of the cocktail hour to the end of the reception.
Cocktail Hour
Indicate when and where the cocktail hour will start and end.
Dinner
Note when guests will be seated for dinner and when dinner will be served.
Speeches and Toasts
Outline when speeches and toasts will take place and who will be giving them.
Dancing
Include when the first dance will occur, the parent dances, and when the dance floor will be open for all guests.
6. Evening Activities
This section should cover all the activities that will take place during the evening, such as the cake cutting, bouquet toss, and any other special dances or games.
7. Wrap-up Activities
Detail when the last song will be played, when guests should depart, and when the wedding couple will make their grand exit.
Tips for Crafting a Wedding Day Itinerary
Here are some tips to help you craft your wedding day itinerary:
-
Start from Scratch: Every wedding is unique, so you’ll need to create a timeline that suits your day. Use templates as a guide but adjust them to fit your needs.
-
Add Buffer Time: Unforeseen delays can happen, so add extra time to your schedule to accommodate them.
-
Distribute Your Itinerary: Share your itinerary with your vendors, wedding party, and family members to ensure everyone is on the same page.
-
Consider the Weather and Lighting: If you’re having an outdoor ceremony or planning for sunset photos, consider the weather and lighting when scheduling these events.
-
Work with a Planner: If possible, work with a wedding planner or month-of coordinator to help you create a detailed and effective itinerary.
Lastly,
Creating a wedding day itinerary is an essential part of planning your big day. It ensures that everything runs smoothly, and all your guests have a great time. Take the time to think through each part of your day and create a timeline that suits your needs. And remember, while sticking to the schedule is important, don’t let it stop you from enjoying one of the most memorable days of your life!

Do Wedding Planners Negotiate?
Do wedding planners negotiate?
Unveiling the mystique surrounding the role of wedding planners, the primary question that often arises is – do wedding planners negotiate? The art of negotiation when it comes to weddings can be complex, but seasoned wedding planners, like our team at Events by Whim, have their own approach.
Understanding The Role Of A Wedding Planner
A wedding planner’s role extends beyond mere coordination. We are your strategic wedding partners who ensure your dream wedding comes to life within your budget. From vendor selection to contract negotiation, our expertise plays a pivotal role in ensuring a smooth and hassle-free wedding journey.
The Art of Negotiation
Negotiating with wedding vendors is an integral part of a full wedding planner’s role. We are well-versed in identifying areas where negotiations can yield significant cost savings without compromising the quality of service or even more importantly, the good working relationship with your vendor. Cutting a great deal at the expense of that working relationship could cause you issues down the road. Walking the line between the right contract inclusions while still recognizing the talent and expertise of your vendor is incredibly important and your wedding planner will know exactly where that line is.
Leveraging Relationships
Wedding planners have established relationships with industry vendors. That rapport often results in vendors going the extra mile for our clients. This does not necessarily mean a direct monetary discount but could translate into additional services or benefits. Many of our friendors in the wedding industry will bring extra product, stay a few minutes later, capture behind the scenes or other goodies to really wow our mutual clients, many times out of appreciation and love of working together as a team.
The Negotiation Process: A Closer Look
Delving deeper into the process, we find that wedding planners employ a strategic approach to negotiations. Understanding how they operate can provide valuable insights.
Analyzing Vendor Contracts
A wedding planner scrutinizes the vendor contracts, identifying the negotiable and non-negotiable components. This scrutiny is vital to ensure that all terms align with the couple’s expectations and that no hidden costs are lurking in the fine print.
Establishing a Dialogue
Initiating a dialogue with the vendors, wedding planners communicate the couple’s vision, budget, and concerns. This dialogue is not about hard bargaining, but more about reaching a mutually beneficial agreement.
Reaching a Consensus
The final proposal may not always be about reduced prices. It could be about added perks, customized packages, or flexible payment terms. The key lies in finding a middle ground that both parties are comfortable with.
The Power of Respectful Negotiation
Negotiating with vendors does not mean arm-twisting them into providing cheaper services. It’s about respectful negotiation, recognizing the value they bring, and working collaboratively to achieve the best outcomes.
Empathy is Key
Approaching the negotiation with empathy and understanding can foster better relationships with your vendors. Remember, they are here to help make your day special. A little kindness can go a long way.
Set Clear Expectations
Transparency is crucial in negotiations. Clearly communicate your expectations and budget constraints. This will help vendors to provide solutions that are in line with your needs.
Be Open to Compromises
Negotiation is not about winning; it’s about finding a solution that benefits both parties. Be open to compromises and alternative solutions proposed by the vendors.
So Do Wedding Planners Negotiate?
Yes, wedding planners do negotiate. However, the true value we bring lies not just in price negotiation, but in our ability to create a seamless and delightful wedding experience within your budget. By leveraging our industry relationships and expertise, we ensure that every aspect of your wedding, from venue selection to vendor management, is tailored to your unique needs and budget constraints. So, when you ask, ‘do wedding planners negotiate?’, the answer is a resounding ‘yes’. But, more importantly, we bring to the table our expertise, relationships, and an unwavering commitment to making your wedding dreams a reality.

In the multicultural mosaic of Canada, the celebration of love often transcends borders and cultures. One such celebration is the Guyanese wedding, rich in diverse traditions that have been passed down through generations. Toronto, and Canada in general has a large Indo and Afro Guyanese population, many of whom tend to incorporate some aspect of Guyanese wedding traditions into their wedding celebrations. Please note that Guyana has a very diverse population both in terms of ethnicity and religion, and different groups tend to celebrate differently. Guyana has large Hindu, Muslim and Christian populations, and has many traditions that are independent to each and others are celebrated universally.
Understanding the Guyanese Wedding
A Guyanese wedding is a beautiful amalgamation of vibrant cultures and religious traditions, influenced by three major religions – Hinduism, Islam, and Christianity. These weddings are an immersive community experience, with each day brimming with rituals, music, food, and celebrations. It is not uncommon in Guyana for members of the community to assist with different aspects of the wedding as well! Preparing for the wedding is as big a celebration as the wedding itself!
Pre-Wedding Rituals: The Maticoor (Hindu)
One of the big pre-wedding celebrations for a Hindu wedding, known as the Maticoor, is the first of several vibrant Guyanese wedding traditions. This celebratory event is a spiritual cleansing ritual for the bride and groom. Women from both families engage in a procession to the wedding house, bringing soil for the bride to perform puja. The event concludes with the bride and groom receiving a rub down of a haldi-infused dye, believed to possess restorative qualities and meant to cleanse the bride and groom and have them at their purest selves prior to the wedding.
Attire for the Maticoor
For the Maticoor, the bride adorns a vibrant saree, often embellished with intricate embroidery and sequins. The groom typically wears a traditional Indian sherwani with a matching dhoti or churidar. The attire for guests varies, with many opting for traditional Indian outfits or fusion attire.
The Wedding Ceremony: Vivah
The Vivah or the wedding ceremony is the heart of a Guyanese Hindu wedding. Performed within a beautifully decorated mandap or marrow, the ceremony is conducted by a Hindu priest and includes rituals like the Kanyadaan, Mangal Phera, and Jai Mala.
Tips for Wedding Guests
Being punctual and respectful during the wedding ceremonies demonstrates your admiration for the couple and their traditions. Guests are often encouraged to participate in various rituals, making it essential to familiarize yourself with the customs. Discerning couples will provide a written or projected ceremony outline that breaks down the different aspects of the Vivah, and helps guests who are unfamiliar with the traditions follow along.
The Reception: A Grand Celebration
The reception is a grand affair, featuring a lavish feast, cultural performances, music, and dance. The food served is a delightful fusion of Guyanese and Indian cuisines, with popular dishes like curries, roti, biryani, and a variety of sweet treats.
The Kangan: Post-Wedding Traditions
The Kangan is the concluding event of an Indo-Guyanese wedding. The newlyweds are welcomed into the bride’s family home, presented with bangles, symbolizing blessings for a prosperous married life.
Muslim and Christian Guyanese Wedding Traditions
While there are similarities, Muslim and Christian Guyanese weddings have distinct traditions. The Muslim wedding, or Nikaah, and the Christian wedding is usually a one-day affair. The Nikaah is held at the bride’s residence, while the Christian wedding is usually performed in a church.
Gift-Giving Tradition
Gift-giving is a common practice in both Muslim and Hindu weddings. In Hindu weddings, a dowry is given by the bride’s parents to the groom. For Muslims, it is the bride who receives a gift, known as a Mohar, from her groom.
Blending of Traditions
Over the years, some traditions have been adopted across religions. Some Muslims and Christians now have a “dye rubbing” ceremony, a typically Hindu maticoor custom. Similarly, Hindus and Muslims now have wedding receptions, a predominantly Western tradition.
Guyanese weddings are a vibrant celebration of love, tradition, and culture. Whether it is the colorful pre-wedding rituals, the sacred wedding ceremony, the grand reception, or the post-wedding traditions, each aspect of the wedding offers a unique glimpse into the rich Guyanese culture.

What is the average wedding cost in Toronto in 2024?
Planning a wedding can be an exhilarating yet daunting task, especially when it comes to budgeting. This guide aims to provide a detailed breakdown of the average wedding cost in Toronto in 2024, offering valuable insights for couples who are embarking on their wedding planning journey.
Understanding the Average Wedding Cost in Toronto
The average wedding cost in Toronto can vary greatly, but on average, couples can expect to spend anywhere between $50,000 to $100,000+ for their special day. This is a based on 100 guests in a downtown Toronto area wedding venue for a single day wedding. However, it’s important to note that this is a broad range and the actual cost can be significantly lower or higher depending on your personal preferences and choices. An easier metric – most couples planning in the downtown Toronto area expect to spend between $500-$1500+ per guest for their wedding.
Key Wedding Expenditure Categories
Here is a summary of the major categories you can expect to allocate your budget towards:
Reception and Catering
This is usually the most significant component of a wedding, accounting for up to 65% of the total wedding budget. The reception and catering cost typically includes the venue rental, staffing, meals for guests, beverages and basic rentals like tables, chairs, tabletop items and linen.
Photography and Videography
Capturing your wedding day in photos and videos is the next significant expense. Hiring skilled Toronto wedding photographers and videographers is crucial for preserving your precious memories. This cost can vary depending on what you choose to include in your package – ie multiple shooters, drone coverage, same day edits, etc. Typical costs of experienced and skilled teams start at $5,000 for a single day with a single shooter.
Floral and Decor
Floral arrangements and décor can greatly enhance the aesthetic appeal of your wedding, but it’s also one of the most labor-intensive aspects of wedding planning. The costs here can vary greatly depending on your personal style and the overall aesthetic of your venue.
Hair, Makeup, and Attire
Looking and feeling your best on your wedding day is a must. This cost category includes the bride’s dress, groom’s suit, and professional hair and makeup services. Don’t forget alterations and accessories, too!
Entertainment
Entertainment options can range from DJs and live bands to photo booths and other types of live performances.
Wedding Rings
The wedding bands symbolize your lasting love and commitment, and their cost is usually factored into the wedding budget.
Breaking Down the Average Wedding Costs in Toronto
Here’s a more detailed look at how much you can expect to spend in each category:
Venue and Food
The cost of the reception and catering can range from $20,000 to over $45,000, depending on the exact location, the size of the venue, and the number of guests. I’ve based this range off of a wedding in the downtown core of Toronto with approximately 100 guests. Remember, the venue sets the tone for your entire celebration, so choose a space that resonates with your overall wedding vision. As venue accounts for a large portion of your wedding budget, there is also an opportunity to save by choosing off-peak dates for your wedding. Hiring an experienced Toronto wedding planner can help with mitigating (and negotiating) the costs and inclusions of your wedding venue package. This is the area where you can have the most impact on your wedding budget.
Photography and Cinema
The average cost for photography and cinematography can range from $5,000 to $10,000+ each. The exact cost can vary based on factors such as the size of the team, the number of events to be covered, whether you want to hire separate companies for photography and cinema and specific inclusions like same day edits, physical photo albums and the like.
Wedding Attire
Your wedding attire budget, including, including wedding dresses, suits, sarees, lehengas, etc should also include alteration costs, accessories and undergarments. Custom outfits can cost over $3000.00 without considering alteration costs and accoutrements.
Wedding Rings
The cost of wedding bands can start at around $600 and can go upwards based on your preferences. Remember, these bands represent your lasting love with your partner, so it’s worth considering them as an essential part of your budget.
Wedding Planner
If you’re considering hiring a wedding planner to help navigate the planning process, you can expect to spend around $3,000 to $7,500 + for a full time and experienced planning team, depending on the planning package that you choose. While not every wedding requires a full wedding planner, having a day of coordinator (month of management) can help ensure things run smoothly on your big day.
Lastly..
Planning a wedding in Toronto involves careful consideration of numerous cost categories. By understanding the average wedding cost in Toronto and exploring potential cost-saving measures, you can ensure that you’re well-prepared to make informed decisions that align with your budget and vision. Remember that your own values should govern how you spend in each category. Some couples value food and beverage above all, others value entertainment. Consider what matters to you both individually and together and make decisions in service of that as you plan your wedding together.
Remember, while budgeting is essential, it’s equally important to ensure that your wedding day is a reflection of your personal style and preferences. After all, it’s a celebration of your love and commitment, and it’s worth investing in making it a day you’ll remember fondly for the rest of your life.

How much do Toronto Wedding Planners cost?
As wedding planners, this is a question that we get asked all of the time! Today we thought we would shed some light on how much and how wedding planners in toronto charge.
Cost of Toronto Wedding Planners
The cost of a wedding planner in Toronto varies greatly depending on the services you need. On average, a full-service planner may cost anywhere from $4,500 to over $10,000 and more. The specific cost of full planning will depend on the circumstances of your wedding. Single day weddings may have a lower cost versus a multi-day wedding which may require more staffing, longer hours, etc.
For month/day-of coordination (I dislike the term day-of coordination because it isn’t an accurate reflection of the service), you can expect the cost to fall between $1,500 and $3,500+ as again, the cost will depend on the circumstances of your specific wedding. If you’re looking for partial planning services, the cost will be much more custom based on the scope of work. But remember, these are average prices and can fluctuate depending on the planner’s experience, your specific needs, and the complexity of your wedding. Always get a personalized quote for the most accurate pricing.
How do Toronto Wedding Planners Charge?
Wedding planners in Toronto typically charge in three ways: a flat fee, a percentage of your total wedding budget, or an hourly rate.
-
Flat fee: This is often charged for full-service planning and covers all services from start to finish. It provides certainty about the total cost in advance.
-
Percentage: Some planners charge a percentage of your total wedding budget, usually around 10-20%. This method is more common for larger, more complex weddings as this more accurately reflects the scope and scale of work that the planner will be undertaking
-
Hourly rate: Some planners charge an hourly rate for specific tasks or consultations, which can vary widely based on their experience and expertise.
It’s essential to understand what is included in these fees and if there are any additional costs for extra services. Always clarify this with the planner before signing a contract.
